Setup Purchase Order Notification And Message Templates

The system facilitates using three types of notifications depending on user type: Email notifications, SMS(Text) notifications, and Push(Mobile app) notifications. You may set up all three differently with different copies or at once by using the same message copy. 

 

Followed is how you can do it-

  1. Click on the ‘Settings’ icon on the right side of your screen, adjacent to your profile picture.
  2. Now, click on ‘Inventory Management Settings’ from the left menu, followed by clicking on ‘Purchase Order’ from the middle section
  3. Now, click ‘Notifications’ from the left menu. There are following types of notifications that you can create depending-

- When a Purchase Order  is ‘Created’

- When a Purchase Order is ‘Updated’

- When the ‘Status’ of Purchase Order changes

- ‘Reminder’ notifications 

- ‘Overdue’ notifications related to Purchase Order

 

For all types of notifications, you need to follow a similar kind of process to create the notification and set up their message copy/templates. The steps will be-

  1. Click the type of notification you want to create. Eg. ‘Created’
  2. In the middle section, you will see three types of notifications that you can set- ‘Email’, ‘Push’ i.e. mobile app push notifications and ‘SMS’ i.e. text messages notifications
  3. To create any of these types of notifications, click on the respective tab of ‘Email’, ‘Push’ or ‘SMS’ and then click ‘Add new’ 
  4. Fill respective field and setup the template content/copy you want to use. For every field, there is a tooltip with an icon that you can refer to learn more about what that field does and what information is needed
  5. For ‘Overdue’ and ‘Reminder’ types of notifications, there is an additional field named ‘Frequency’ in the panel that opens when you click ‘Add New’. In ‘Duration’ field, you can put how frequently you want these notifications to be sent. 
  6. Once you have finished filling in all the details, Click ‘Save’. If you select ‘Save Default Template’, the system will save this template as a default for all three types of notifications i.e. ‘Email’, ‘Push’ or ‘SMS’ provided you also select ‘Add Push Template’ and ‘Add SMS template’ from the bottom

Once saved, these notifications will be sent to the respective stakeholders(Actors) you have selected whenever these activities are performed.

These steps can be followed to create any type of notification copy(template).
